Which Category Fits a 10-30 Person Electrical Sub?
For a 10-30 person electrical sub, the right category depends on how you bill: field service suites for service calls, construction suites for progress billing, and a time tracking app plus QuickBooks Online for T&M-heavy work. How Do You Back Up a T&M Invoice From QuickBooks?
Attach a labor backup sheet to the invoice: one row per person per day, with date, who, what was done, hours, bill rate and amount. Leave off cost rates, labor cost and margin. The customer pays bill rate, so bill rate is the only rate they see.Here's the method, start to finish, with nothing to buy:
- Capture the note the same day. One line per person per day, written at the end of the shift. Use the wording formula below.
- Set a bill rate per job. Keep it separate from what you pay. Cost rate is for job costing. Bill rate is for the customer. Use two different columns and never mix them on one sheet.
- Enter the time activity in QBO. Pick the customer, check Billable, enter the bill rate, and paste the note into the description.
- Build the invoice. When you create an invoice for that customer, QBO offers the billable time. Add it, and check that the descriptions came across on the lines.
- Attach the backup sheet. Print or PDF the one-row-per-day sheet and attach it to the invoice or send it with it.
- Have the GC's super or the customer's rep initial daily tickets, where the contract allows. A signed daily ticket is evidence the customer's own rep agreed to the hours that day, which a software record alone can't show.

What Should the Crew's Note Say?

Use the customer's names for places, the ones on the drawings or the ones the super uses. Your shop's nickname for a room means nothing on an invoice.
The Real Obstacle: Getting the Crew to Write Anything
Ask one question at the end of the shift, and make the answer take under a minute. Long forms don't get filled out. One line does.- Ask the same question every day: "What did you work on?" The same prompt builds the habit.
- Ask at clock-out, not Friday. By Friday, Tuesday is gone.
- Let them reuse yesterday's note when the work carried over, and edit the circuit numbers.
- Tell them why. The note is what lets the company defend their hours when a customer pushes back. It protects their work. It isn't a check on them.
- Have the foreman cover for the one who won't. A foreman's line for the whole crew beats nothing. Just keep it per person per day on the backup sheet.
Doing It With QuickBooks Alone, or With an App
QBO alone works if someone in the office enters the time activities with the notes in the description. At about one minute each to enter with a note, that's about 75 minutes of office time a week. Run it with your own headcount and a realistic minute count.
A time tracking app removes the re-keying, if it captures the note and pushes it into the description field. Check how far the push goes. Some apps fill every field. Others send date, worker, hours and description, and leave the customer, service item and billable flag for you to set in QBO.
