Hours that explain themselves in QuickBooks

A bare number in QuickBooks tells your bookkeeper how long someone worked. It does not tell anyone what the time was for. Here is the same time activity description, two ways:

The electrician writes the note once, at clock-out, while the work is fresh. It goes to QuickBooks with the hours, and it shows up on the weekly timesheet, the CSV and the billing packet your customer sees.

From the panel to QuickBooks in four steps

    Connect QuickBooks Online

    An admin connects your QuickBooks Online company from Settings. It is a standard Intuit sign-in; FieldTimesheet stores the access tokens encrypted.

  2. 02

    Your electricians punch in

    From their own phones, in the browser. They pick the job, tap clock in, and at clock-out leave one line about what got done. GPS is recorded with the two punches.

  3. 03

    The office reviews the week

    The Time page lists every entry with its job, hours, note and sync status. An admin can fix a missed punch or add a manual entry before anything leaves.

  4. 04

    Click Sync

    Every completed entry that has not gone yet is sent to QuickBooks Online as a time activity: the date, the worker's name, hours and minutes, and the work note as the description. Anything QuickBooks rejects stays marked with the error and goes again on the next Sync.

What it does not do

  • Customer on the time activity. Synced hours arrive in QuickBooks without a customer attached yet. Bill the customer from the billing packet, not from the QuickBooks time activity.
  • Clock times in QuickBooks. QuickBooks gets hours and minutes per entry; the clock-in and clock-out times stay in FieldTimesheet, the CSV and the printed reports.
  • Service items, classes and rates. None are set on the synced entries.
  • Scheduled pushes. Nothing goes to QuickBooks until an admin clicks Sync, and nothing comes back from QuickBooks.
  • QuickBooks Desktop. The sync is for QuickBooks Online only.
  • Offline punches. Clocking in or out needs a signal; there is no offline punch queue yet.

Not directly yet: synced entries are not attached to a QuickBooks customer. For the customer, print the billing packet for the job and date range. It lists date, who worked, what was done, hours, your bill rate and amount, and never shows what you pay your electricians.

It stays unsynced with the error QuickBooks returned, the rest still go through, and the failed entry is sent again the next time an admin clicks Sync.
