What's Included in This Template?

Every column a construction crew needs to capture accurate, billable time records.

The template includes the following fields for each time entry:

  • Date -- the work date for each entry.
  • Worker Name -- who performed the work.
  • Job / Project -- which project to bill the hours against.
  • Start Time & End Time -- clock in and clock out times.
  • Break -- deducted from total hours automatically.
  • Total Hours -- calculated from start, end, and break.
  • OT Hours -- overtime hours over 8 per day or 40 per week.
  • Billable (Y/N) -- flag for T&M vs. non-billable time.
  • Notes -- work description, change orders, material pickups.
  • Supervisor Approval -- sign-off column for verified hours.

The built-in formulas calculate daily totals and weekly summaries so you do not have to add them up manually. If you need to track additional data like job costing or cost codes, add extra columns to fit your workflow.

How to Use the Construction Timesheet Template

Five steps from download to weekly payroll and billing.

  1. Download the template -- grab the Excel file above or open it directly in Google Sheets. Print it if your crew prefers paper.
  2. Customize job codes -- replace the sample project names with your active jobs. Add your company name and logo to the header.
  3. Distribute to your crew -- email the spreadsheet, share via Google Drive, or hand out printed copies at the Monday morning meeting.
  4. Collect weekly -- gather completed timesheets every Friday. Review for missing entries, unsigned rows, and overtime flags.
  5. Enter into QuickBooks -- manually key hours into QuickBooks for invoicing and payroll. This is where most contractors lose time. Read our complete time tracking guide to see how to streamline this step.

When a Spreadsheet Isn't Enough

Spreadsheets work for small crews. They break as you grow.

When your crew hits 10+ workers, the cracks show up fast. Formula errors compound without anyone noticing. Totals get copied wrong between sheets. A single lost timecard costs an average of $500 in unbilled labor.

Beyond data entry errors, spreadsheets have structural limitations. There is no real-time visibility into who is on which job site right now. There is no mobile time tracking -- workers cannot clock in from their phones. And the biggest pain point: you cannot sync spreadsheet hours to QuickBooks automatically. Every entry gets typed in twice.

That is why contractors who outgrow spreadsheets switch to automatic QuickBooks sync. One-tap clock-in on a phone replaces end-of-day guesswork. Hours flow into QuickBooks without re-typing. Use our overtime calculator to see how much your crew loses to missed hours each year.
